Hivelight and Clio

Clio is where your firm lives — matters, billing, documents, client records. Hivelight is what growing Clio firms add when the questions change from "where is the file?" to "where is everything up to, who's doing what, and are we on track?"

Hivelight is a legal project management platform that connects to Clio with a deep, two-way, real-time sync. Your matters, contacts, staff — and even your tasks — flow between the two platforms automatically. You keep the practice management system you love, and gain the operational visibility and delegation power your firm has outgrown.

Why Clio firms add Hivelight

Firms using Clio typically implement Hivelight because they have grown. More matters, more people, more moving parts — and suddenly partners are spending their days chasing updates instead of practising law. Hivelight replaces the chasing with a live picture:

  • Every matter, colour-coded by urgency. A live summary of all your matters, with the ones that need attention brought to the top and highlighted. Filter by matter type, jurisdiction, team member, or custom tags. No stages to manually update — the reporting is always accurate because it's generated from the work itself.
  • Every task, on a board. Each matter has a task board broken into milestones — key deadlines and deliverables — so anyone can see what stage a matter is at, what's next, who owns it, and the notes on each task. With Hivelight, even the intern could give a detailed status update on any matter.
  • Every person, working to priorities. The dashboard is the first thing your team sees: their most urgent tasks and deadlines across all matters, ranked. And the central task list shows all tasks across the whole firm — filter by assignee, reviewer, due date, or status, and move work around the team in seconds.

How the Hivelight–Clio two-way sync works

This is not a "zap" that copies names across. The Clio integration is a true two-way synchronisation that goes deeper than most, and it starts working the moment you connect.

Your Clio practice imports itself. Matters come across with their display numbers, descriptions, clients, and related contacts — each with their role on the matter. Matter numbers are preserved and searchable. Practice areas are automatically matched to Hivelight matter types. Your originating and responsible attorneys are mapped onto each matter, so ownership is in place from day one.

Tasks sync both ways. Your Clio tasks arrive in Hivelight with their assignees, due dates, descriptions, and priorities intact — and Clio's task statuses map straight onto Hivelight's board columns (To Do, In Progress, To Review, Done). Create or complete a task in Hivelight, and it's created or completed in Clio, assigned to the right person. Your team can work wherever suits them; both systems stay true.

It stays current in real time. Hivelight subscribes to Clio's webhooks for matters, contacts, and tasks. Open a matter in Clio and it appears in Hivelight. Close it, and Hivelight archives it. Set it to pending, and it lands in your Hivelight intake pipeline. No re-keying, no nightly imports, no stale data.

One click back to Clio. Every synced matter and contact in Hivelight links directly to the same record in Clio. Plan and track the work in Hivelight; jump straight to Clio for documents and billing.

Legal workflows and roadmaps for Clio matters

If you are wondering how most of the larger firms grew to the size they did — it's workflows and reporting. Being able to delegate work efficiently and track its on-time completion is what makes scale possible, and Hivelight does both.

You'll know simple task-list workflows from Clio. Hivelight adds roadmaps: template sets of milestones and tasks that let you delegate years' worth of work in a matter of clicks, drive automated progress reporting, and set the velocity you want your cases to run at. (Our guide to the matter management process shows how firms structure these stages.)

Unlike other solutions, Hivelight workflows are easy to build, easy to maintain, and easy to update even after they're loaded onto a matter. Deadlines moved? Shift milestone and task dates in bulk. Process improved? Push the new version to active matters. If you can write a to-do list and break it into stages, you can build a Hivelight workflow — no coding, no branching diagrams.

Run intake in Hivelight, keep Clio clean

Hivelight is built for volume. Start every new enquiry as a matter in Hivelight, load your intake workflow, and track it through to sign-up with nothing falling through the cracks. Sign the client, sync the matter to Clio, and load the workflow for the next stage of the work. Don't proceed? Archive it in Hivelight and keep your Clio clean. Clio matters marked pending flow into your intake pipeline automatically, too.

Reporting and analytics for Clio firms

Reporting that builds itself. Because your team manages their work in Hivelight, live analytics come for free: new matters per month, top referral sources, team workload and capacity, and whether matters are progressing at the pace you set. Add your own custom data points to matters and report on those as well.
